Role: Sr. Project Manager
Job Description:

Key Accountabilities:
Team Leading, Coordinating, Managing
  • Takes the leadership role in training, coaching, providing continuous feedback and conducting performance evaluations with direct reports
  • Show diplomacy and sensitivity when dealing with colleagues
  • Act as the team leader on all assigned projects
  • Run daily stand-ups and provide next steps to the team
  • Works with other project managers on managing and solving risks
  • Educate team on requirements for all systems used in the company
  • Drive innovation to help teams reach their full potential
Project Management
  • Proactive Solution Seeker and roadblock remover
  • Sprint planning, backlog upkeep, and project ownership in Jira
  • Maintain Daily Scrums and provide follow-up contact report
  • Ability to anticipate project issues/risks and clearly communicate resolutions to the client and internal team
  • Keep best-practices documentation updated based off lessons learned
  • Identify bottlenecks and propose solutions ahead of time; the only thing that is certain is that not one day is ever the same
  • Cross-functional team lead; provides oversight and support on all client deliverables
  • Ensure that the delivery of projects meets clients' expectations, within agreed profit margins
  • Provides feedback to internal teams and vendors and verifies all feedback has been implemented
  • Monitor appropriate archiving of projects/assets/documents during project and at completion
  • Review and approve timesheets for owned projects in Open Air
  • Communicate project status and updates and health to AS team on a daily basis
  • Work with department leads to secure resourcing needs of the account
  • Assist in the development of new processes/procedures to achieve new business objectives and/or continually improve, streamline or automate existing processes.
  • Lead or direct projects with cross-functional teams including: Creative, Technology, QA, User Experience/Information Architecture, Production, and Performance & Analytics
  • Lead the development of project scope documents, related schedules/project plans, project resource requirements and staffing assignments.
  • Schedules internal meetings, provides contact reports and next steps
  • Work with internal team on deadlines and requirements for all projects
  • Define project scope, estimate and writing scope of works; work with account team in the creation of project specifications and timelines
  • Manage all aspects of the project life cycle from concept to delivery, must be intimately familiar with the roles played by Design, Copywriting, Studio, Print Production, Editorial, User Experience, Technology, and Quality Assurance. Provide daily project updates, including risks and issues as they arise to the client service team
  • Provide content production oversight (video, photo, multimedia) for all stages of content development from creative concepting, planning, pre-pro, production, and post production
  • Make sure all projects are following agency best practices and meet all requirements

  • Resource management
  • Develop/manage project scope documents, related schedules/project plans, project resource requirements and staffing assignments
Financial and Administrative
  • Build staff plans, assumption, and schedules based off client input or agency input briefs
  • Monitor out-of-scope budgets including project actuals and retrospectives tied to budgets
  • Assist program manager in annual planning for retainers scope, budget, staffing
  • Writing and submitting write offs, purchase orders, investment forms, time transfers, change orders, and invoices
  • Opening jobs and keeping track of job numbers
Education & Experience Requirements:
  • Bachelor’s degree or equivalent, relevant experience desired
  • 5-9 years of project management experience in one or more of the following fields: operations, digital technology or web development firm, IT consulting firm or strategy consulting firm
  • Experience in an agency environment, or equivalent client-side experience
  • Excellent knowledge of the web and related technologies including (user experience, web development, web services, integration, application management and hosting)
